You know the drill: we pop up from bed to the mechanical yelps of our alarm clocks and rush to get ourselves and the kids clothed, lunches in hands, dog fed, trash out, coffee in hand – all before half past 7 a.m.
Like many working moms, I saddle up to my desk at 8 a.m. and work until the late-afternoon. I love my work as a client services manager, but my days are hectic. By 5 p.m., I’m off to the boys’ soccer practice and then, afterward, throwing whatever pasta, meat and vegetables we have available onto our plates for dinner. And this drill is only our school year routine – our summer schedules are even more packed with activities.
As business people and technologists, but also as parents, our team at AssureSign understands the chaos that is summer for most families – the kids are home from school, calendars are dotted with holidays and summer camps of all varieties span the weeks – it’s hectic! But don’t just take my word for it, according to the American Camp Association (ACA), more than 11 million children and adults attend one of the more than 12,000 day and resident camps in the U.S.
Now, think about the fact that each one of those 11 million campers parents filled out a form (more likely multiple forms) to participate in camp. For just my two boys’ camps this summer, I spent more than an hour and a half of my limited time filling in forms (45 minutes per kid). Most of the information, including name and contact information, was duplicated across multiple pages that I had to fill out over and over – across 15 pages total (that is, after I had to take the time to print them out). Who has time for this? The answer is that no one does! And yet, in the digital world we inhabit in 2015, we parents are still spending hours every year on manual paperwork for our kids’ activities (not to mention our own).
A Better Way to Ride the Wave
After one particularly long afternoon of signing multiple waivers for my boys to participate in youth soccer (Association of Christian Youth Soccer – ACYS), I approached our parent-run board with an idea: let’s use electronic signatures for all of these documents. They agreed to allow me to deploy AssureSign e-signature and we condensed a 15-page, 45-minute-long process into an electronic process that populates duplicate information in all fields, condensing process time – start to finish – down to five minutes. Now parents can sign these forms from their smartphones (right from the soccer field) and they even receive a copy via email upon completing the forms. AssureSign’s powered 500 waiver packets for ACYS thus far. Crossings Ministries is also using AssureSign for its 8,596 summer camp participants and the Jacksonville Jaguars football camps have gone electronic with their forms, too.
As a parent, it’s really satisfying to get time back in your day, so that you can spend it not on more admin but on your family and your work, especially during the precious days of summer.
